Signing in and out

Everyone

Sign in with the access your company gave you: the company ID (only the first time on each device), your user and password, or your fingerprint / Face ID. What you see depends on your role: employee, supervisor or administrator.

  1. The first time on a device, enter your company ID (for example XB-ABC234); Human Resources or your administrator gives it to you.
  2. Enter your user (email or employee number) and password. If it is temporary, choose a new one (at least 10 characters, not only digits).
  3. Turn on fingerprint or Face ID to sign in within a second next time, and allow location when the phone asks.
  4. If your user has several sections (for example, you clock your own workday and are also a supervisor or administrator), choose which one to open. With only one, you go straight in.
  5. The sections you can open (My day, Team, Settings) are in the bar on the left; on a phone, in the bar at the bottom. Each section has its own menu beside it (on a phone, tabs at the top).
  6. Your circle with initials, at the top, opens your account: change the language, refresh the screen, help and “Sign out”.
  7. To leave, tap your circle with initials and choose “Sign out”; fingerprint / Face ID stays on for that device.
Good to know
  • Each device is registered to one person: nobody else can clock in from it.
  • Your own records (clock-ins, clock-outs, breaks, absence requests and the weekly sign-off) can only be made from one phone: the first one you record from becomes your recording phone. If you change phones, ask your supervisor or administrator to release it; the next phone you sign in from will be registered.
  • Those records ask you to confirm with fingerprint or Face ID (or the phone's unlock, if the phone allows it). Your supervisor can let you record without biometrics if your phone has none.
  • If you are also a supervisor or administrator, you can open those screens from any phone or computer; the locks only apply to your own records.
  • After 8 failed attempts the access is locked for 15 minutes; an administrator can reset the password.
  • In password fields, the eye shows or hides it, and the × clears what you typed.
  • Your location is stored only at the moment you clock in, take a break or clock out. If it could not be obtained, the notice says so and the record is saved with the reason (permission blocked, unavailable or took too long).
  • On a computer, Windows location must be on (Settings › Privacy & security › Location); otherwise the browser does not get it even after you allow it.
  • Fingerprint / Face ID and location need xBeat to be opened at its secure (https) address. When it is opened by a server's IP address over http, the password is used and the record is saved without location.
  • If the phone blocks the location, xBeat shows the steps to turn it on for iPhone (Settings › Privacy & Security › Location Services) or Android.
  • Companies with their own identity provider (Microsoft Entra ID, Google) use “Sign in” with the company account.
  • Everyone signs in at the same xBeat address. If you open another section's address without signing in, xBeat takes you to the sign-in.
  • If you see “does not have access to this section”, your role doesn't include that screen; “Go to my sections” shows the ones you can open.

Clocking in, breaks and clocking out

Employee

From a phone or computer, employees record the start and end of their workday and breaks. The time is set by the server.

  1. Open “My day”. The card at the top shows your state (Off the clock, Working or On meal break) and how long so far.
  2. When you arrive, press the large “Clock in” button.
  3. For your meal, press “Start meal break”, and “Back from meal break” when you return.
  4. At the end of the day, press “Clock out”.
  5. When you record, the confirmation appears next to the button with the time and whether your location was saved.
  6. “This week” shows your hours against the legal maximum (the mark on the bar), the hours per day and any alerts.
Good to know
  • Each record's time is that of the place where you make it (from your GPS position): if your branch is in Tijuana, you record in Tijuana time even if the server is in another zone. If you travel to another time zone, your workday counts in the local time where you record.
  • Only the buttons that apply right now are shown (for example, you can't clock in twice in a row).
  • Offline, the entry is saved on the phone and sent automatically when you're back online, without duplicates. Meanwhile a blue band shows how many records are pending; once sent, “Sent” appears.
  • If a notice at the top asks you to confirm with your fingerprint or Face ID, tap it: the buttons turn on once you confirm. If it says this is not your recording phone, record from your phone or ask your supervisor to release the old one.
  • For on-site jobs with a geofence, your location is shared only when you clock; if you're outside the area, the entry is saved and flagged for review.
  • A notice at the top tells you when you have weeks to sign; tap it to go to “My weeks”.
  • The “My day”, “My weeks” and “Absences” tabs are in the bar at the bottom on a phone and in the column on the left on a computer. “More” has help and, if your role allows it, other sections.
  • This week's alerts come in three levels: a note on the card, an amber alert with the next step, or a red alert when there is a breach to review with your supervisor.
  • If you made a mistake on a record, ask your supervisor to correct it; you can also say so when you sign your week.

Reviewing and signing my weeks

Employee

Each finished week is reviewed and confirmed, or disputed. That answer is the record agreed with the worker.

  1. Under “My weeks”, open the week marked “To sign”.
  2. Check the hours per day, the overtime (double and triple) and the alerts.
  3. If everything is right, press and hold “I confirm it is correct” for 1 second (a circle fills up); this avoids signing with an accidental tap. A check mark appears when it is signed.
  4. If something is wrong, press “I don’t agree”, explain what is wrong and send it. Your supervisor will review it.
Good to know
  • The current week can't be signed until it ends.
  • If your supervisor corrects an entry after you signed, the week changes to “Sign again”.
  • All statuses are listed in the “Weekly sign-off statuses” table.

Time off, leave and vacation

Employee

See your available vacation days and upcoming mandatory rest days, and request vacation, leave, or report an IMSS incapacity.

  1. Under “Time off and vacation”, check your available days, those earned by length of service and those taken or requested.
  2. Press “Request vacation or leave”, choose the type and the dates.
  3. For an IMSS incapacity, enter the certificate folio. For leave, enter the reason.
  4. Press “Send request”. Your supervisor approves or rejects it; the status shows under “My requests”.
  5. You can cancel a pending request, or approved vacation that has not started.
Good to know
  • You can attach evidence (optional): “Take photo” opens the camera and “Choose from gallery” your photos; before sending you see the photo and pick “Use this photo”, “Retake” or “Choose another”. You can also attach a PDF or Word file. Up to 3 files of 10 MB per request.
  • The evidence is sent with the request. While it is pending you can remove a file; once decided, only your supervisor can add documents.
  • Each request shows as a card with its type, dates and state (with an icon); the clip 📎 shows how many files it has.
  • Vacation (LFT Art. 76): 12 days the first year, 2 more each year up to 20 in the fifth, then 2 more every five years. They are earned on each work anniversary.
  • Vacation and leave count working days: not your weekly rest days or mandatory rest days. IMSS incapacities count calendar days.
  • Paternity leave is up to 5 paid working days (Art. 132 fr. XXVII Bis).
  • Mandatory rest days are those of Art. 74 (January 1, first Monday of February, third Monday of March, May 1, September 16, third Monday of November, December 25, and October 1 in the year the Federal Executive changes), plus any your company adds.
  • Requests start today or later, except incapacities, which can be reported with a past start date.
  • When you review a week, absence days and mandatory rest days are marked.

Supervisor dashboard

Supervisor

Shows the people you supervise with their weekly hours, overtime, alerts and sign-off status.

  1. Pick the week with the arrows, or “Today” for the current one.
  2. Filter by location or area, or tick “Only with alerts”.
  3. The tiles at the top count who is working now, who is on a meal break, who has not clocked in today and who has LFT alerts. Tap one to see only those people; tap it again (or “Show everyone”) to clear the filter.
  4. On a phone people are grouped by state. On a computer, tap a column title to sort the table, and “Density” shows it comfortable or compact.
  5. In a person's detail, “Void” (in red) sits apart from the other actions and still asks for the reason. The “Corrections log” lists the week's corrections with who made them and when.
  6. Click a person to open their week.
Good to know
  • Each record keeps the time zone of the place where it was made (from its GPS position) and is shown in that local time. If it does not match the branch's, the record says, for example, “Tijuana (Baja California) time” and carries the “Other time zone” alert.
  • You only see the locations or areas an administrator assigned to you; administrators see everyone.
  • People with violations are listed first.
  • Whoever has an approved absence today (vacation, incapacity, leave) is marked. The “Team” menu has “Absences and leave” (the requests to approve) and “Reports”; “Settings” (administrators) and “My day” (your own time record) are in the sections bar.
  • In a person's detail, “Recording phone” shows which phone they record from. “Release the phone” frees it (lost or changed phone): they are signed out there and the next phone they sign in from is registered. “Allow records without fingerprint / Face ID” removes that requirement for that person only; both changes go to the audit log.
  • Each record shows the device it was made from.
  • “Reassigned later” means the person changed location or shift after the week shown; that week is calculated with the assignment they had then.

Week detail and corrections

Supervisor

The detail shows the person's status right now, each day with its clock-in and clock-out time, a map of where they recorded, the alerts, the worker's sign-off and every record. Corrections never change records: they are added as new ones.

  1. At the top you see their status right now (working, on a break, off duty), any absence today (vacation, incapacity, leave) and their last record.
  2. In “Where it was recorded”, the map shows one record at a time with its time, accuracy and whether it was inside or outside the attendance area (red: outside). Move between them with “‹ Previous” and “Next ›”, or press “Show location” on any record in the list.
  3. To remove a wrong record, press “Void” next to it, enter the reason and confirm.
  4. To add a missing record, choose the type, the date and time (local time at the location) and the reason, then save.
  5. Check “Weekly sign-off”: it lists each answer from the worker and whether it was on the current records or on records that changed later.
Good to know
  • The date and time you type is local to the person's branch. If the record happened in another zone (a trip, for example), choose that zone in “Time zone of the place”.
  • A reason is required (at least 5 characters) and is stored with your user.
  • A voided record is still shown, struck through; it is never deleted.
  • Records cannot be entered in the future.
  • The location appears only if the phone or browser shared it when recording; corrections and home office without GPS have no point on the map. When it is missing, the record says why.

Approve time off and record incapacities

Supervisor

On the supervisor dashboard, the “Time off and leave” section shows your team's requests awaiting approval and upcoming approved absences.

  1. Review each request: person, type, dates, days it counts and, for vacation, the available balance.
  2. Add a comment if you like and press “Approve” or “Reject”.
  3. For an IMSS incapacity or an absence, press “Record an absence”, choose the person, the type and the dates; it is approved at once.
Good to know
  • The photos and documents the person attached appear on their request: tap each one to open it (photos and PDF in another tab; Word downloads).
  • Whoever is away today is marked in the team table.
  • If someone records work on an approved absence day, the week shows a warning; also if they work on a mandatory rest day (paid double on top of the wage, Art. 75).
  • Approved absences are part of the week the person signs: approving or cancelling one after their signature marks the week to be signed again.
  • Everything is in the audit log: who requested, approved, rejected or cancelled.

Reports

Supervisor

Worked, ordinary and overtime hours, days worked, absences, alerts and sign-offs per person for a week, fortnight, month or custom period. Exported to PDF.

  1. In “Team”, open “Reports” in the section menu.
  2. Choose the period: week, fortnight, month or custom, and move with the arrows. It opens on the last complete week.
  3. Filter by company, area, person or leader. With a leader, tick “include every level” to see everyone under them, or untick it for direct reports only.
  4. Group by company, area or leader to see subtotals.
  5. Press “Export PDF” to download the report, or “Download CSV” to open the same table in Excel or another spreadsheet.
Good to know
  • Worked hours count the days in the period. Overtime, alerts and sign-offs are weekly and count in the period where each pay week ends.
  • Supervisors see the people in their locations or areas; administrators see the whole company.
  • Each person's leader is set in “Setup › People”.

Setup › Companies

Administrator

The legal entities in your group, with RFC, IMSS employer registration and the day the pay week starts.

  1. Press “Add”, enter the legal name, RFC and employer registration, and choose the week start.
  2. To change details, use “Edit”.
Good to know
  • The pay-week start is locked once that company has time records, so weeks already calculated are not regrouped.

Setup › Locations

Administrator

Plants, offices or branches, with their time zone and an optional geofence.

  1. Press “Add”, choose the company, the name and the time zone.
  2. Place it on the map: press “Use my location (GPS)” if you are there, search the address by street and number, paste coordinates, or click on the map. Latitude and longitude fill in and can also be typed by hand.
  3. Set the radius in meters: the circle on the map shows where on-site clock-ins are accepted.
Good to know
  • The time zone decides which day each shift belongs to; it is locked once the location has records. To change it, create a new location and reassign people.
  • The geofence only flags on-site entries made outside the radius; it never stops anyone from clocking.
  • The map and address search use OpenStreetMap; an internet connection is needed.

Setup › Areas

Administrator

Departments within each location (for example Production or Administration).

  1. Press “Add”, choose the location and enter the name.

Setup › People

Administrator

Your staff: personal details and their assignment (company, location, area, shift type and work mode) with its history.

  1. To add someone, press “Add” and enter number, name, CURP, birth date, location, shift type and work mode.
  2. With xBeat sign-in, each person's access is created under “Accesses”. Only when the company signs in through its own identity provider (Keycloak, Entra ID) does “Identity-provider user” appear here: enter the username the person signs in with there.
  3. Choose their “Leader (reports to)”: reports by leader include everyone under them.
  4. Enter the “Hire date” and their weekly rest day: vacation is calculated from them. If they had days pending when the company started using the system, enter the “Opening vacation balance” and its date.
  5. To change location, area, shift or work mode, open “Edit” and record a change under “Assignment”, from the first day of a pay week.
  6. For someone who leaves, use “Deactivate”. They can be “Reactivated” later.
Good to know
  • Nothing is deleted: the law requires keeping the records.
  • Assignment changes apply from the chosen week; earlier weeks keep the assignment they had. Future weeks are not accepted.
  • The birth date is used to detect workers under 18, who may not work overtime.
  • If the license limit is reached, nobody can be added or reactivated (see “License”).

Setup › Supervisors

Administrator

Which locations or areas each supervisor sees and corrects.

  1. Enter the supervisor's username, choose “Whole location” or “One area”, select it and press “Assign”.
  2. To remove an assignment, press the × next to it.

Setup › Access

Administrator

Your company ID and who can sign in: user, roles, linked person, temporary password and the devices each person uses.

  1. Share the company ID with your staff; they type it the first time they sign in on a device.
  2. Press “New access”, choose the person (or none, for a supervisor or administrator), the user (email or employee number) and the roles, and create it.
  3. Hand over the temporary password shown: it appears only once and the person must change it when signing in.
  4. If someone forgets their password, use “Reset password”; if they change or lose their phone, “Remove” that device.
Good to know
  • A device belongs to one person: anyone else trying to sign in from it is refused until you remove it.
  • “Fingerprint / Face ID” means the person turned on quick sign-in on that device.
  • Deactivating an access ends its sessions at once; the time records are kept.

Setup › Integrations and import

Administrator

Import your staff from the Excel or CSV file your payroll system exports, and see the direct connectors under development (Aspel NOI, CONTPAQi, Odoo, SAP and others).

  1. Under “Import staff from Excel or CSV”, choose your file (or download the sample template and fill it in).
  2. Review the preview: new, changed and unchanged people, deactivations and rows with errors. You also see the companies, locations and areas that will be created.
  3. If a row has an error, fix the value right in the preview and press “Check again”.
  4. Press “Import”. Rows with errors are not imported; you can enter those people later in “People”.
Good to know
  • Columns are recognized even with other names (for example “Department” for area or “Manager” for the leader), in Spanish or English.
  • Dates can be dd/mm/yyyy or Excel dates. Work mode accepts On-site, Home office or Hybrid; shift type, Day, Night or Mixed.
  • With a single company or location, that one is used when the row does not say.
  • The leader is given by employee number and can be in the same file. Cycles are refused (someone reporting to a person who reports to them).
  • A change of location, area or shift applies from the current week; earlier weeks do not change.
  • With “Deactivate people who are not in the file”, people of those companies who are missing are deactivated. Nothing is deleted.
  • The import respects the license limit and is written to the audit log.
  • Direct connectors (NOI, CONTPAQi, Odoo, SAP and others) are shown as “Coming soon”.

Setup › Rest days

Administrator

The year's mandatory rest days: the Federal Labor Law days (Art. 74) are computed automatically; here you add your state's election days or the company's own rest days.

  1. Choose the year with the arrows.
  2. To add a day, enter the date and the name, and press “Add day”.
  3. To remove a day the company added, press “Remove”.
Good to know
  • Rest days do not count as vacation or leave days.
  • If someone works on a mandatory rest day, their week shows a warning: that day is paid double on top of the wage (Art. 75).

Setup › Branding

Administrator

The logo, colors and app name your employees see, including on the sign-in page of your own address.

  1. Enter the app name (optional).
  2. Choose the primary and accent colors; the preview shows the result.
  3. Upload your logo (PNG, JPEG, WebP or SVG, up to 256 KB) and press “Save branding”.
Good to know
  • Colors too light to read on white are not accepted; the text color is chosen automatically.
  • SVGs containing code or external resources are refused for security.
  • If you upload no logo and enter no name, screens show the xBeat logo and colors.
  • The “Developed by Experti” signature stays on every screen.

Setup › License

Administrator

The plan, how many active employees it allows, its validity and monthly usage.

  1. Check the status, active employees and validity.
  2. To install a new license, paste the text Experti sent you (it starts with WHTS1.) and press “Install”.
Good to know
  • The monthly peak of active employees is what counts; deactivated people don't.
  • At the limit, people cannot be added or reactivated. Clocking in/out, corrections, weekly sign-off and exports are never blocked.
  • An edited license, or one for another company, is refused.

Setup › Audit log

Administrator
